Frequently asked questions

Do we own our customer data?

Yes, without qualification. It’s your data, exported on request and on termination. We handle your customers’ personal information on your behalf under the Privacy Act 2020, and every engagement includes a written data-handling agreement covering how it’s stored, who can access it, what happens if something goes wrong, and how it’s returned or deleted if you leave. You should expect that from anyone touching your customer database — and you should ask for it in writing.

Will you be sending marketing to our customers?

Only where there’s a proper basis to. New Zealand’s Unsolicited Electronic Messages Act 2007 requires consent, honest sender identification and a working unsubscribe on every commercial email and text. We audit consent when we migrate your data and we don’t bulk-message a list that can’t evidence it. That’s partly compliance and partly self-interest: messaging people who didn’t ask for it damages your deliverability and your name.

Do we have to change the systems we already use?

Not necessarily. Plenty of trades and practices run job-management or practice-management software they have no intention of leaving, and that’s fine — we integrate with it wherever it allows. Where it doesn’t, we’ll tell you honestly what can and can’t be connected before you commit, rather than discovering it halfway through a build.

Do you answer our phones or do our selling?

No. We build and run the system; your people still do the work and win the jobs. What changes is that no enquiry is missed, follow-up happens whether or not anyone remembers, and you can see the whole picture. We’re not a call centre and we won’t pretend to be one.

How long does implementation take?

Typically four to eight weeks from kick-off, depending on how much data needs migrating and how many systems need connecting. The audit comes first and gives you a fixed scope before any build begins — no open-ended projects.

What if our team doesn’t use it?

That’s the most common way these projects fail, which is why training is a contracted deliverable rather than an afterthought. We build around how your team actually works, document it, train them live, and leave recorded walkthroughs behind. If the process needs changing after go-live, changing it is part of the ongoing service.
